Job Type: Full-time - Temporary 

Job Purpose: To provide administrative support to the Admin Manager and wider Operations Team, delivering an exceptional level of service to both external and internal customers.

Key Accountabilities:

Customer Service:

  • Handle telephone calls, mail, and email requests professionally and promptly.
  • Update customer portals with necessary documentation post-service.
  • Complete daily reports.
  • Print and scan required documentation.

Operation Support:

  • Send accurate remedial quotes to clients.

  • Input data to compile daily/monthly reports.

  • Support the Admin Team in submitting payment applications and invoicing information.

  • Assist in processing engineers' expense claims.

  • Maintain electronic and paper files accurately.

  • Assist in creating job packs, including Site Diary, Specification, RAMS, and drawings.

  • Log information from returned Job Packs.

  • Monitor staff holidays and sickness and inform relevant managers.

  • Distribute PPE and workwear to engineers with recorded signatures.

  • Track and log Variation Orders, Cancelled Orders, and Overtime Requests.

  • Carry out additional tasks as directed by management to maintain performance, efficiency, and customer service within the division.

Job Context / Key Challenges:

  • Provide critical support to the sales and operational functions within the Electrical Testing Division.
  • Ensure accurate, timely quotations and professional delivery of works.
  • Process and submit payment applications and invoicing information promptly to avoid payment delays.

Role Dimensions:

  • No direct reports
  • Interfaces with internal and external customers and clients
  • Supports both operational personnel and staff colleagues

Person Profile:

  • Proven experience in a similar role, preferably within a related industry with field-based personnel and national customers.
  • Strong IT skills, including MS Outlook, Word, and Excel.
  • Excellent communication and organisational skills with proven accuracy in information and systems maintenance.
  • Good attention to detail.
  • Professional, customer-focused manner, proactively supporting colleagues.

Organisation Structure:

  • Part of a small, busy divisional team based in Castleford and other locations in the UK.
  • Reports to the Operations Director but supports the entire operational team both within the branch and in the field.
